Privacy Policy

1. Who we are

AVICORE is operated by AVICORE Aviation Technologies Ltd, a company incorporated in Kenya ("we", "us", or "our"). Our registered office is in Nairobi, Kenya. You can contact us at privacy@avicore.co.ke.

2. Information we collect

We collect information you provide directly, information generated by your use of the platform, and (where permitted) information from third-party services:

  • Account data — name, email address, profile photo (via Google Sign-In).
  • Pilot data — licence numbers, ratings, medical certificates and logbook entries you choose to add.
  • Community reports — airstrip, weather, hazard and fuel reports you submit, including any attached photos.
  • Usage data — pages visited, features used, device type, browser, approximate location (country/city level).
  • Communications — messages you send us via the contact form or email.

3. How we use your information

  • To create and manage your AVICORE account.
  • To provide the aviation intelligence, airstrip safety, community reporting and pilot passport features.
  • To send you service communications — account confirmations, expiry alerts, security notices.
  • To improve the platform through aggregated, anonymised analytics.
  • To comply with our legal obligations under Kenyan law and applicable aviation regulations.

We do not sell your personal data to third parties.

4. Legal basis for processing (GDPR / Kenya Data Protection Act 2019)

  • Contractual necessity — to deliver the services you signed up for.
  • Legitimate interests — platform security, fraud prevention and improving the product.
  • Consent — marketing emails (opt-in only; you can withdraw at any time).

5. Sharing your information

We share data only as necessary:

  • Infrastructure providers — cloud hosting (Hetzner, Germany / Helsinki) and database services. All providers are contractually bound to handle data securely.
  • Google — for authentication via Google Sign-In. Google's privacy policy applies to that interaction.
  • Law enforcement — only where required by Kenyan law or a valid court order.

6. Data retention

We retain your account data for as long as your account is active, or as required by Kenyan aviation regulations. Deleted accounts are purged within 90 days except where retention is legally required. Community reports remain anonymised in the network after account deletion to preserve aviation safety data.

7. Your rights

Under the Kenya Data Protection Act 2019 you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate data.
  • Request deletion of your data (subject to legal retention requirements).
  • Object to or restrict processing in certain circumstances.
  • Receive your data in a portable format.

To exercise any right, email privacy@avicore.co.ke. We will respond within 30 days.

8. Security

We implement industry-standard security measures: HTTPS/TLS in transit, encrypted database storage, access controls and regular security reviews. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security.

9. Cookies

We use only functionally necessary session cookies (for authentication) and anonymous analytics. We do not use advertising or tracking cookies. You can disable cookies in your browser settings, but core features will not work without session cookies.

10. Children

AVICORE is intended for licensed pilots and aviation professionals. We do not knowingly collect data from persons under 18. If you believe a minor has provided us data, please contact us immediately.

11. Changes to this policy

We may update this policy. Material changes will be communicated by email or a prominent notice on the platform at least 14 days before taking effect. Continued use after the effective date constitutes acceptance.
